EMAIL.md: Your Campaign Operating System
Every Claude prompt in this course starts with @EMAIL.md without it Claude writes generic outreach, with it Claude writes email that sounds like you wrote it for this specific person
Claude does not retain memory between conversations. Every time you open a new conversation and ask it to write a cold email it starts from zero.
EMAIL.md is the information you would otherwise have to paste into every prompt: who you are targeting, what you sell, what your tone sounds like, which signals you use, and what your best-performing subject lines were.
Paste @EMAIL.md at the start of a prompt and Claude has the full context in seconds.
It works alongside MARKETING.md and SALES.md. When all three are referenced in a prompt Claude knows your entire client acquisition system and can write with appropriate context for each stage.
The Complete EMAIL.md Structure
Copy this template and fill in every section as you work through the course.
# EMAIL.md — Outbound Campaign Operating System ## Who I Serve
Ideal prospect:
- Role: [e.g. Founder, Head of Operations, Managing Director]
- Industry: [e.g. Local service businesses — dentists, physios, solicitors]
- Company size: [e.g. 2 to 20 employees]
- Location: [e.g. UK, specifically England]
- Primary problem: [The specific gap between where they are and where they
want to be]
What disqualifies a prospect:
- [e.g. Fewer than 2 employees — usually sole trader with no budget]
- [e.g. Over 100 employees — too much procurement process]
- [e.g. Already has a full-time developer in-house]
## What I Sell
[Paste from SALES.md — your one-paragraph offer description for your
primary service]
Secondary services:
[Shorter descriptions of other things you offer if relevant to outbound]
## Signals I Look For
Signal 1 — Website observation:
- [What you look for and what it tells you — e.g. "Booking form is a PDF or
- Calendly link in nav with no integrated booking. Usually means they are
- losing people between intent and confirmation."]
Signal 2 — LinkedIn activity:
[What kinds of posts indicate someone has the problem you solve]
Signal 3 — New hire or role change:
[What hiring or movement tells you and how you reference it]
Signal 4 — Company milestone:
[What milestones suggest budget or need]
Signal 5 — Tech stack observation:
[What you look for on their site or via BuiltWith]
## Active Campaigns
Campaign 1:
- Segment: [Industry + Role + Size + Location]
- Signal type: [Which signal type you are using]
- First email sent: [Date]
- Status: [Active / Paused / Complete]
- Reply rate: [%]
- Positive reply rate: [%]
- Notes: [What is working and what to improve]
## Sequence Templates ### Standard 4-Email Sequence
Email 1 (Day 0 — Hook, Bridge, Ask):
- [Paste your current best-performing Email 1 template — leave the hook
- as a variable that gets replaced per prospect]
Email 2 (Day 2 — Different angle):
[Paste your Email 2 template]
Email 3 (Day 6 — Value drop):
[Paste your Email 3 template]
Email 4 (Day 13 — Break-up):
[Paste your Email 4 template]
## Subject Lines
Tested and performing:
- "[observation only]" — reply rate: [%]
- "quick question" — reply rate: [%]
- "[first name only]" — reply rate: [%]
To test:
- [subject line variant you want to try]
## Response Templates ### Positive reply — they are interested:
[What you say when someone replies positively — typically move to
discovery call or ask a qualifying question from SALES.md]
### Not interested:
"Completely understand — thanks for letting me know. [Your name]"
### Wrong person:
"Thanks for letting me know — who would be the right person to reach out
to for [the problem you mentioned]?"
### Out of office:
Note: Instantly handles these automatically with the resume-on-return setting.
## Weekly Review Notes
[Running log — add a line each Monday]
[Date] — [Campaign] — Sent [X] / Replied [X] / Positive [X] — Change next
week: [ONE THING]
How to Use EMAIL.md in Claude Prompts
For writing first emails:
Using @EMAIL.md, @SALES.MD, and @MARKETING.MD — write a cold email to
[NAME] at [COMPANY]. Signal: [PASTE SIGNAL].
For reviewing a draft:
Using @EMAIL.md — review this cold email draft against the rules in my
sending system. [PASTE EMAIL]. Tell me what to change.
For campaign improvement:
Using @EMAIL.md — I have run this campaign for 2 weeks. Here are the
numbers: [RESULTS]. What should I change first?
For generating subject lines:
Using @EMAIL.md — write 5 subject line options for an email with this
hook: [PASTE HOOK].
Maintaining EMAIL.md Over Time
Update it after every campaign review. Add new signals you have found that worked. Update reply rates on active campaigns. Add to the subject line performance log. Revise the offer description if you have sharpened it. Note what you changed and whether it improved results.
The value of EMAIL.md compounds over time. After 3 months of consistent outbound it contains all the patterns from your best-performing campaigns and Claude can access all of them in a single prompt.
Your Action Right Now
Build your EMAIL.md today. Fill in every section using what you have built throughout this course. Start with Who I Serve, What I Sell, and Signals I Look For because these three sections make every subsequent prompt dramatically better.
Leave the Active Campaigns and Weekly Review sections empty for now. You will fill them in as you run campaigns.
